Sales Quote Software: From Price Quote to Order

What does sales quote software solve? Line based quotes from a product and price list, discount approval, revision history, PDF output, quote status tracking and turning an accepted quote into an order with one click.

Sales quote software produces price quotes from a shared product and price list instead of Word or Excel files, and records who each quote went to, at what price, in which revision and with what outcome. The short answer: the real gain is not a nicer PDF but turning quotes into a searchable record and converting an accepted quote into an order without retyping it.

What is wrong with quoting in Excel?

An Excel template works for the first few quotes. Trouble starts when the number of quotes and people grows: every salesperson works from their own copy with old prices, discount rates change without anyone approving them, and the question "what did we offer this customer last month?" is answered by searching email. When a quote is accepted, the same lines are typed a second time for the order or invoice.

  • The price list is not in one place; every file holds its own copy.
  • Nobody knows which revision of which quote the customer received.
  • There is no discount limit; the margin problem shows up after the quote is sent.
  • Open, lost and won quotes cannot be reported.
  • Accepted quotes are re-entered by hand into orders and invoices.

What good sales quote software should include

The core record is not the quote but the product and price list. Quote lines are picked from that list; a salesperson does not type unit prices freely and can only apply discounts within their limit. A discount above the limit moves the quote to "awaiting approval" and no PDF is produced until a manager approves it. That single rule stops the margin from quietly eroding.

  • Products, services and price lists (by customer group and currency).
  • Line level discount, VAT rate and validity date.
  • Role based discount limits and an approval flow.
  • Revision numbers: a sent quote never changes, a new revision is opened.
  • Branded PDF output and sending by email.
  • Statuses: draft, sent, accepted, rejected, expired; a reason code for losses.
A sent quote is never edited. A change is a new revision. Otherwise the PDF in the customer’s hands and the record in your system drift apart, and in a dispute you cannot prove which one is valid.

Totals and revisions: a small example

Storing amounts as integers in minor units (cents) prevents decimal rounding from drifting the total. A revision copies the existing record and increments its number; the old revision stays exactly as it was.

type Line = { qty: number; unitPriceMinor: number; discountPct: number; vatPct: number };

function quoteTotals(lines: Line[]) {
  let netMinor = 0;
  let vatMinor = 0;
  for (const l of lines) {
    const gross = l.qty * l.unitPriceMinor;
    const net = Math.round(gross * (1 - l.discountPct / 100));
    netMinor += net;
    vatMinor += Math.round((net * l.vatPct) / 100);
  }
  return { netMinor, vatMinor, totalMinor: netMinor + vatMinor };
}

// A sent quote is frozen: a new revision copies it, never edits it.
function revise(q: { no: string; rev: number; lines: Line[] }) {
  return { ...q, rev: q.rev + 1, lines: q.lines.map(l => ({ ...l })), status: 'draft' as const };
}

From quote to order and receivables

The value of quote software shows at the moment of acceptance. The lines of an accepted quote become an order with the same product codes; then order tracking software takes over stock and shipping, and accounts receivable software takes over the balance created by the invoice. If you already use a CRM for customer conversations, the quote module should connect to it; a second customer list means two systems that drift apart over time.

Off the shelf or custom software?

For a business selling standard products in a single currency, an off the shelf quote module is usually enough. Custom software makes sense when products are priced by configuration (size, material, options), when cost calculation happens inside the quote, or when quotes must connect to an existing ERP and accounting system. Before deciding, review your recent quotes: how many fit a template, and how many needed manual calculation?

Conclusion

Sales quote software pays off when it ties the price list to a single source, discounts to approval, sent quotes to immutable revisions and accepted quotes to orders.
